You open your to-do list and it is not one big scary task. It is 23 tiny ones. Reply to a comment. Send the file. Confirm the date. Update the card. None of it is hard, but it all sits there, quietly taking up space in your head.

The two-minute rule is a simple way to clear that mental clutter: if it genuinely takes under two minutes, do it now. Not later today. Not after the meeting. Now.

This works especially well in Breeze because you can turn those little open loops into tasks, close them fast, and keep the context where the team can see it.

The 10-minute breakdown

  • 2 mins: Collect your tiny tasks
  • 5 mins: Finish the real two-minute ones
  • 3 mins: Convert the rest into next actions

The 10-minute fix

The goal is not productivity theatre. The goal is to stop carrying tiny commitments in your head.

1. Collect your tiny tasks (2 minutes)

Open the Breeze project you live in. Make a short list called Two-minute sweep (or add a tag like 2-minute). Then dump the small stuff out of your brain and into Breeze.

Good candidates: "Reply yes or no", "Attach the latest file", "Move the card to review", "Add the due date", "Tag the right person". Keep it honest. If you already know it will take 20 minutes, it does not belong here.

2. Finish the real two-minute ones (5 minutes)

Set a five-minute timer and start at the top. If the task is under two minutes, do the work immediately and mark it done. No rethinking, no re-ordering, no "let me just check one more thing".

If it involves another person, leave a one-line comment on the card so the handoff is clear. You are not just checking boxes. You are closing loops in a way the team can see.

3. Convert the rest into next actions (3 minutes)

For anything that is not truly two minutes, make it easier to start later. Rewrite it as one next action and assign an owner. If the task title is vague, rename tasks so the first verb is obvious.

Example: change "Landing page" to "Draft the hero section copy", add a quick checklist, and set a near-term due date. Now it stops nagging you, because it has a real shape.
