Best project management software for manufacturing in 2026

The best project management software for manufacturing in 2026 is Smartsheet for engineering and operations teams that already plan in spreadsheets and need dependencies, Gantt views and rollups across projects. Microsoft Planner and Project Plan 3 is the pick when a schedule needs baselines and a critical path, Wrike or Asana when a new product introduction program crosses engineering, quality, purchasing and sales, and Breeze when a small manufacturer wants plain stage boards, a cross-project overview and time tracking without a scheduling engine. None of these tools schedules production. They manage the projects that run alongside it.

This comparison is for engineering, operations, quality, NPI and continuous improvement teams at small and mid-size manufacturers: the people running a line change, a tooling build, a supplier qualification or a kaizen event while the plant keeps shipping. It is not a guide to MES, ERP, MRP or finite scheduling software. If the problem you are solving is work orders, routing, machine loading or inventory, none of the ten tools below is the answer, and the section right after the disclosure explains where that line sits.

What these tools manage, and what they leave to your ERP or MES

Project management software manages the work that has a start, an end and a team drawn from several departments. In a factory that is new product introduction, line and cell changes, tooling and fixture builds, supplier qualification and onboarding, capex installs, audit and certification preparation, and continuous improvement projects. Every one of those has stages, owners, dates that move, documents and someone waiting on someone else.

It does not manage production. Work orders, routings, bills of materials, inventory, machine and labour scheduling, quality records and traceability live in the ERP, the MES or a finite scheduler, and no tool on this page tries to replace them. A few teams try anyway, usually by rebuilding a BOM as a task list. It creates a second copy of part data that nobody keeps current, and the project tool ends up distrusted for the thing it is actually good at. Keep the systems on either side of that line and connect them only where a project step genuinely has to react to a plant event.

  • Stays in ERP, MES or APS: work orders, routing and operations, BOMs and revisions, inventory and purchasing, machine loading, quality and traceability records.

What manufacturing projects need that a generic task list misses

Manufacturing projects need dependencies that move dates, a view across every open project, and a place for suppliers, and most task tools are weak on at least one of the three. A tooling build waits on a design release, which waits on a DFM review, which waits on a supplier quote. When the quote slips a week, the tool should push the tooling date without someone editing twenty cards by hand. Smartsheet, Microsoft Planner and Project, Wrike, Teamwork and ClickUp do that on their entry paid tiers, Asana and monday.com do it from Starter and Standard, Jira links issues without moving dates, and Trello has no native dependencies at all.

The second need is the overview. The same six engineers are on every project, and the question that matters on Monday morning is not the status of one project but who is overloaded across all of them. Breeze's roadmap and workload calendar, Wrike's workload charts, Asana's Workload on Advanced, and monday.com's dashboards answer it. Trello and Jira, used on their own, do not.

The third need is outside people. Supplier qualification, contract tooling and customer PPAP sign-off all involve someone who is not an employee and should not cost a full seat. Breeze includes unlimited free client users, Smartsheet gives every plan unlimited free Contributors who can view, comment and answer update requests, Teamwork's client users are free and can join up to five active projects each, Asana guests do not count as paid seats on a paid plan, and Microsoft Planner lets you add collaborators outside your organisation. On monday.com and ClickUp, plan carefully, because the seat count is the bill, and Wrike has stopped offering its free Collaborator licence to new accounts.

A practical example: a mid-size contract manufacturer running eight NPI projects, three line moves and a stream of supplier corrective actions. The NPI projects live on a stage board (concept, DFM, tooling, samples, PPAP, launch) with a dependency on the tooling task. Line moves live on a Gantt-style plan because the shutdown window is fixed. Corrective actions live on a simple list with a due date. One tool should hold all three, and the overview across them is what the plant manager actually looks at.

A line change plan with predecessors, durations and a Gantt view behaves the way the project engineer expects, a slip in one row moves the rows behind it, and the same sheet rolls up into a report across every open project. Forms handle intake for change requests, and automations send the reminder when a gate date is close.

Where Smartsheet fits

  • Dependency-driven plans: predecessors, lag, durations and Gantt on every paid plan, so a tooling lead time pushes the sample date on its own.

Microsoft Planner and Project is the right answer when a manufacturing program needs a baseline and a critical path, and the plant already lives in Microsoft 365. Project for the web has been folded into Planner, so the same licence now covers a simple board for a kaizen team and, on Plan 3, a proper schedule with lead and lag dependencies for a line move with a fixed shutdown. The Project desktop app is still there on Plan 3 for the scheduler who wants resource levelling and cost fields. It sits inside Teams, which is where most plants already talk.

Where Microsoft Planner and Project fits

  • Baselines and critical path: Plan 3 captures the plan at approval and shows what actually drives the end date, which is what a capex steering meeting asks for.
  • Advanced dependencies: lead and lag on Plan 3, so a cure time or a supplier lead time is modelled rather than padded.
  • Microsoft 365 plants: plans open in Teams, files sit in SharePoint, and guest access covers suppliers.
  • Portfolios: Plan 3 can group plans into a portfolio to track milestones across every NPI at once.

It is easier for non-engineering departments to adopt than Wrike or Smartsheet, which matters when sales and purchasing are on the same project as engineering.

Breeze fits a small manufacturer whose projects are stage-based and cross-functional and whose people will not maintain a Gantt chart. Each project is a board whose lists are the stages, so an NPI board reads concept, DFM, tooling, samples, PPAP, launch, and a supplier onboarding board reads its own steps. Swimlanes split a board by product line or by department. Task dependencies can be switched on per project and can link tasks across projects, so the tooling task in one project blocks the sample build in another.

The cross-project view is where Breeze earns its place on this list. The project roadmap is built from the real projects, shows them on a timeline by month or quarter and groups them by team or by client, and the team workload calendar shows every person's tasks side by side. Every task carries estimates and time tracking with a per-project budget in hours and rate, which is enough for capex reporting and R&D time capture. Suppliers and customers come in as free client users. Files attach from Google Drive, Dropbox, Box and OneDrive by link, so drawings stay in the document system.

What Breeze does not have matters just as much. There is no Gantt chart inside the app: Gantt views come through the Ganttile companion app, which syncs the same projects and tasks. There is no critical path, no resource loading in hours against capacity, and no baseline. There is no link to a BOM, inventory or an ERP; the integrations are Slack, GitHub, GitLab, Bitbucket, Harvest, Toggl and Zapier. A plant running long multi-phase programs with a fixed shutdown window should use Smartsheet or Microsoft Planner and Project for the schedule and, if it wants, keep Breeze for the day-to-day boards.

Jira fits engineering change requests, corrective actions and any log where every item has a type, a workflow with defined transitions and an audit trail. That describes an ECR process well: draft, impact review, approved, implemented, verified, with fields for affected part numbers and a history of who moved it and when. It is a poor fit for the NPI project itself, because Jira thinks in issues and sprints rather than phases and dates, and the cross-project timeline lives in Plans on Premium.

  • Typed work items with workflows: an ECR, a deviation and a CAPA as separate issue types with their own transitions and required fields.
  • Audit trail: every field change is logged, which quality auditors like.

  • Firmware and controls teams: if the product has software, the developers are probably already in it.

It is not a project tool for an NPI: there are no native dependencies, the Timeline view is on Premium, and there is no overview across boards below the Premium workspace views.

Where Trello fits
